Introduction

In addition to being able to post jobs through the Monster Hiring site, Monster provides a process to FTP (File Transfer Protocol) job postings. Posting jobs, via the process described in this document, is a free service to Monster customers who need higher integration between their HRMS, ERP, or ATS (Applicant Tracking System).

Monster also has a 'real-time' webservice which can also be used to post jobs. It is recommend that you build your solution using Real Time Posting (RTP) because the processing time is faster and your system will be more synchronized with Monster. In case RTP cannot be used, an alternate option to FTP text batches is the FTP-XML Batch Process. In this process, an XML file containing one or more jobs for a particular user is created and uploaded versus a flat text file as instructed in this document.

Monster also offers a high level of customized integration of job and applicant data using the Monster Business Gateway. Essentially, this involves transferring data between systems using XML documents. Please contact Monster Customer Service or your Account Representative for more information on this service.

Getting Started

If you have not already engaged Monster Customer Service, please do. A username and password must be created prior to initiating the FTP Process. Monster Customer Service can help guide you through the process and put your technical resources in touch with Monster's technical resources.

Depending on your recruitment process and how you will use the Monster tools, a separate account may be established for your FTP job postings. Before going live, Monster will inspect your submission and check for common errors. 

 
Overview of Monster’s FTP Job Posting Service

 

What is FTP?

FileTransfer Protocol, or FTP, is a method of transferring data over a network. These special formatted files contain job data, along with the specific database field names that allows Monster to understand what has been sent.

How Does FTP Work?

A file is exported from your HRMS, ERP, or ATS system that contains every active job posting. The file is uploaded to the Monster FTP site. This site can be accessed manually, but many times is automated by a client's technical team. Once uploaded, the file contents are compared against all the jobs currently in the system. Differences are identified, edits completed, or in the case of the job not being present in the file or if it is a new job, postings can be removed or added to the Monster job boards.

How does FTP work with the Monster Hiring site?

The FTP Process is fully integrated with the Monster Hiring site. As the data is collected and input into the database, folders are created in the Monster Hiring site under the submitting account.

Caution: The FTP file replaces all jobs contained within your Monster account. Edit, expire and create jobs only through FTP, not from within the Monster Hiring site directly. Use the Monster Hiring site only to effectively manage the job seeker pool.

Monster's FTP Job Posting Service provides the ability to link job postings from your HRMS, ERP, or ATS system to Monster. Using Monster's FTP Job Posting Service you can:

  • Upload multiple job openings at one time
  • Advertise to multiple locations and/or categories.
  • Post your positions "Confidentially.
  • Use the Monster Hiring Screening Questionnaires and Filters to screen and rank candidates.
FTP Terminology 

FTP Batch File:
text file uploaded from HRMS, ERP, or ATS system that contains "Job" information.

Job:
contains the Job Posting Information such as Job Title, Job Ad (description) and Salary Requirements. This is the "universalinformation" posted to numerous locations and categories. Job Information creates folders of the same name within the Monster Hiring site.

Job Posting: the different locations and categories that you want to "advertise" your opening. A single job posting is a combination of a single Category, Location and Job Board combination.

BGW (Business Gateway): Monster's servers that process all job file uploads.

Job Inventory: Credits for posting jobs to Monster

Channel: The country/site in which the account is registered under. Unless you supply a specific channel, the channel is assumed to be the Monster.com channel (ID# 58).

Importance of Reference Codes (JOB_REF_CODE)

When the FTP system processes your file, it compares the jobs in the file you submitted to your jobs already in the Monster database. Each Job contains a client defined unique identifier or Reference Code (JOB_REF_CODE). There is one Reference Code for each Job within your company's account. Remember, jobs create Job Folders in the Monster Hiring account that can contain multiple job postings.

Business Rules for Reference Codes

  • If the system encounters a JOB_REF_CODE that has not been previously submitted, it is regarded as a new job and a new job folder is created in the Monster Hiring account, the posting is created and inventory is decremented.
  • If the system encounters a JOB_REF_CODE that has already been used, it is regarded as an update. The job in your file is compared to the job in the database and changes are made as required to your posting(s). The inventory is not decremented unless there is a billable edit (see Decrements to Your Job Posting Package) or if the previous job with the reference code has expired. In the latter case, a new job posting is created.
  • If a JOB_REF_CODE found in the database is not found in your file, all postings associated with that job will be expired.
  • If the same Job Title (JOB_TITLE) is uploaded with a different REF_CODE (i.e. the REF_CODE has been edited), it will be counted as a new job and your inventory will be decremented.
     
Decrements to Your JobInventory

  • Job posting packages are decremented based on the number of new unique Job Postings within the job. Each job must contain a unique Reference Code(JOB_REF_CODE).
  • For new jobs, each posting within the job will cause a job posting package decrement.
  • For updated jobs, each new/additional posting will cause a job posting package decrement.
  • Modification of the job board information of an existing posting is considered a new posting and will cause a job posting package decrement.
  • Modification to the location of the job outside of the current Country it is posted to.
  • The Job Reference Code is a unique job identifier. Any modifications are interpreted as the creation of a new job and all postings will have job package decrements.
Important: The Reference Code has significant impacts to the FTP process, billing, and reporting. Review the full details here: Decrements to Your Job Posting Package.

Job Expiration Job postings expire automatically after the duration of the purchased/utilized job inventory from when it was first posted. The job posting also expires any time the job is not included in the regularly transmitted FTP File.

If a Job Reference Code is submitted after its expiration, a new job will be created and all postings within the job will be decremented from the client's inventory.

The following information is intended to assist technical individuals in understanding Monster FTP Job Posting Service. If you need additional assistance, contact your regional technical support function.

Monster FTP Location

Monster FTP Username and Password

Please contact Monster Customer Service. A username and password must be created in order to access the server.

Monster FTP Frequency

FTP batch files are normally processed within 20-30 minutes after upload. Files should be delivered once or twice per day. Please consult Monster Customer Service if you wish to submit with higher frequency.

File Structure

Assemble all your jobs in one ASCII text file. The acceptable file structures are:

  • A .txt file
  • A .zip file containing a compressed text file.
    Important: Use binary transfer mode when you send a zip file.
  • A .gz file containing a compressed text file.
File Names

Monster Customer Service will provide you with a unique Monster username that you will use to name your FTP file. The file name would be username.txt, username.zip, etc.

An example of a typical username/file name is: XcompanycodeXFTP
You must add the appropriate file extension depending on the type of file: XcompanycodeXFTP.txt for a text file

Important: If you use FTP to post jobs, do not use the same username and password used to post directly within the Monster website. The FTP Process will replace information. Using both methods could result in discrepancies and errors. Also, most accounts do not have the appropriate permissions enabled to allow jobs to be processed through FTP.

Sending the File

You can use an automated script or an FTP client such as CuteFTP or WS_FTP tosubmit your file. You also can FTP directly from a command prompt:

1. Open a command prompt window and change to the directory where the file you want to send is located.

2. Type the hostname of Monster's FTP server – ftp://ftpjobs.monster.com.

3. Login to the FTP server (you can obtain the username and password for the FTP server from Monster).

4. Drop the file to Monster's FTP server and logoff.
 

Important: It is not recommended to use your browser to submit the file. Once connected, you will not be able to view the contents of the FTP folder. This is a security measure to protect your file from being viewed by other customers.

Error Handling

Monster has established automated email notification processes to communicate the success and failure to our customers. After submission of every FTP file, the email contact stored in the user profile section of the Monster account (this is NOT the same as the JOB_CONTACT_EMAIL) will be sent one of four emails:

1. Successful submission of all jobs with no job warnings

2. Successful submission of all jobs with a list of job warnings

3. Failure of one or more jobs with no job warnings

4. Failure of one or more jobs with a list of job failures
 

It allows for identification of error, notification back to the client, and resubmission.

Warning: The job processed with errors, but will still post

Failure: The job did not process, and will not be posted.

Warnings can indicate that the job has posted but with information/values that may cause undesired search performance or the inability for the job to be located in the search.

Tips For Submitting FTP Jobs

1. Adhere to the minimum and maximum field size attributes or the job will fail for successful submission. Field Specifications

2. Each field must start in column 0 (zero) of a new line. Do not include any extra white spaces or the job will fail.

3. Include a blank line between the header and the body of a job.

4. Remember to upload all jobs every time you upload. For example, if you had 100 live jobs under your account, and you uploaded just one job intending to add it to the existing 100, all jobs would be removed and replaced with one job. If you want to add one (1) job you must also upload all existing jobs.
 
Note: If you are looking to manage single job postings, you may want to consider using Real Time Posting (RTP).
 
5. Use plain ASCII text in the file. Unicode formatted text will cause the job to fail.

6. Rememberto specify the JOB_CATEGORY and JOB_OCC_CATEGORY as a numeric string. Entering the name of the category will cause the job to fail.

7. Do not specify a currency symbol for JOB_SALARY fields. The system will add one automatically.

8. If JOB_SALARY fields are used, JOB_SALARY_TYPE and JOB_CURRENCY_TYPE must also be used:

JOB_SALARY_TYPE: 0
 

The above fields indicate an annual salary in US dollars of $40,000 to $50,000.
 

Support For tags in the FTP job feed that will prevent partial files from being processed.

There are times when Monster processes "partial" FTP Job files that are submitted by clients/vendors. These issues are generally not the fault of Monster or the submitter, and can be caused by general FTP failures.

In order to assure that the file is complete, Monster supports the use of tags in the FTP file that indicate the beginning and end of the file. If a"BOF" tag exists at the top of the file, then the BGW will check for a"EOF" tag at the bottom of the file. If the "EOF" tag is present, wewill process the file.

There are no impacts to not adopting this feature. By adopting this feature, processing of "partial" FTP jobs files will be stopped.

FTP File Content Specifications

Each job must start with 10 carets (SHIFT-6) on a single line, at the beginning of that line: ^^^^^^^^^^

Each job consists of two sections: the header and the body.

HEADER

The header consists of lines of text in a "FIELD: value" format. Click here for a list of the fields you can use. Field Specifications

Important: Field name tags must be all CAPS. All field lengths are measured in characters.

The data to the right of the Field: will be placed into the Monster database. The Field: itself will not appear in the online job posting.

Example: JOB_TITLE: Engineer

BODY

The line after the header must be a blank line, followed by the text of your job description.

Important: For best results, each line should be wrapped to less than 80 characters. Lines greater than 80 characters will be automatically wrapped and might not look the way you intended when viewed online.

Important Note regarding Posting Level fields (_X) back to top

  • The posting level fields all end with underscore X ("_X"). Example: JOB_CATEGORY_X:
  • If only one job posting is being created for a job, the "_X" part of the field name must be dropped and the name will remain the same. Example:JOB_CATEGORY:
    • Failure to drop the _X will result in a feed failure unless all posting level fields have _X included.
  • If you wish to have multiple job postings for a job, each additional posting field is followed by the "_X:" Example: JOB_CATEGORY_1,JOB_CATEGORY_2, etc.
Important: "X" is replaced by a unique numeric value for each posting.

Using Job Location Fields

 Country, State and City Fields

 

JOB_LOCATION_COUNTRY specifies the country, and the Monster website, for which the job information should be posted to. Every country within the International Standards Organization (ISO) has an equivalent two-letter code specified in the country list. You must always specify the CountryCode from this list so that it is posted to the correct location.View the country list.

Some ofthe countries listed with ISO have Monster associated State Codes and need to be defined with the JOB_LOCATION_STATE field. The State Code does not necessarily represent a specific state; it is the first level of sub-classification within a country. For example: in the United States, these codes represent individual states. In the United Kingdom these codes represent a region. If there are State Codes defined for the country you are posting to, you must specify the most appropriate state. If the country for which you are posting a job does not have a state code, specify only the JOB_LOCATION_COUNTRY. View the state list

Some Countries also have Monster associated City Codes and need to be defined with JOB_LOCATION_CITY field. If the country you are posting to does have City Codes defined, you must specify the most appropriate city. This can either be the Monster designated City names or a valid cityrecognized by the country's local postal service (USPS, Canada Post, Royal Mail, etc). If the country to which you are posting does not have a JOB_LOCATION_CITY code, omit this field. View the city list.

Important: Within most countries, Monster maps city locations up to appropriate searchable regional locations within the state. The Job Seeker selects these regional locations when a search is conducted.

City Level Posting Information

When posting a job to a location that requires City level information, please set the following fields:

1.JOB_LOCATION_COUNTRY to the appropriate Country code. View the country list.

2.JOB_LOCATION_STATE to one of the appropriate State codes/names, as noted in the state list. View the state list

3.JOB_LOCATION_CITY to one of the cities/counties, as noted in the city list, or to any city recognized by the country's local postal service.

4.JOB_LOCATION_ZIP to a complete, not partial, zip/postal code recognized by the country's local postal service.

Important information: If you do not specify JOB_LOCATION_CITY or JOB_LOCATION_ZIP, your job may fail or could be posted with a state level region in which the job may not be easily found through the job search. If you provide either or both of these fields, your job will be posted within the appropriate Monster search area. If the job is located at a single, physical location, we recommend that you provide sufficient information so that the job is posted with the search area where it will be more apt to be found by job seekers.

UK Specific information: If you do not specify JOB_LOCATION_CITY or JOB_LOCATION_ZIP, your job will be posted with a UK region (state level). If you provide either or both of these fields, your job will be posted with a UK county. If the job is located at a single, physical location, we recommend that you provide sufficient information so that the job is posted with a UK county where it will be more apt to be found by job seekers.

State or Country Level Posting Information

 

1. JOB_LOCATION_COUNTRY to a two-letter code. This list contains every ISO recognized country. view the country list.

2. JOB_LOCATION_STATE to a state name or state abbreviation. View the state list .

o Do not specify JOB_LOCATION_STATE if your country does not support state codes. Specify only JOB_LOCATION_COUNTRY.

o Outside of the US, the "state" codes do not necessarily represent a specific state. They may only represent the first level of a sub-classification within a country. For example, the state codes represent regions in the United Kingdom.
 

3. JOB_LOCATION_CITY to the most appropriate city if the country you are posting to has defined city codes. view the city list. If the country that you are posting the job to does not have cities or towns in the list, enter the most appropriate or nearest city or town. This would be considered optional.
 

PhysicalAddress information / Changing the Monster DefaultLocation back to top

JobSeekers search on locations specified in your job postings within the Physical Address fields (begin with "JOB_PA_") or the JOB_LOCATION fields based on Monster's location mapping rules. The Physical Address fields (begin with "JOB_PA_") control the visible location information that is displayed on the job posting. This affects what the jobseekers see reflected on the job as the location for the position but is also the information that controls how the job is pulled up in the jobsearch. The JOB_LOCATION fields only control what Monster search location the job is going to be posted to.

Example:

JOB_PA_COUNTRY: US
JOB_PA_STATE: MA
JOB_PA_CITY: Boston
 

This would display on the job and job search result as "Boston, MA 02215". Note that primary/default zip code values are populated if not provided. If a job has valid Physical Address information and the job is posted to the appropriate/mapped job search area, the location is indexed in the search for distance mapping. Seekers would only be able to pull up the job if the advertised PA location is within their search criteria's distance radius.

Important information: If a job is not posted to the default/mapped location, distance information is not indexed and the job is searchable by any search originating from the Monster search area selected by the JOB_LOCATION information.

If you wish to define a different Monster search location from the default, set the Location fields to values valid for the search area you wish to advertise in and then the Physical Address fields to the job's location you want displayed on the job & job search:

Example:

To redirect a New York, NY job posting's job search from New York (default) to Boston, set the following values:

1. JOB_LOCATION_COUNTRY to US
2. JOB_LOCATION_STATE to MA
3. JOB_LOCATION_CITY to Boston
4. JOB_PA_COUNTRY to US
5. JOB_PA_STATE to NY
6. JOB_PA_CITY to New York
 

The posting will appear in the Job Seeker search results for the "Boston" region rather than the default of "New York".
Important information: This job would no longer be searchable within New York or within any radius of a search originating from New York search area cities or from New York.

Job Posting Attributes / Enhancements

Monster's job posting suite has multiple options and attributes that are availablefor job postings. There are multiple durations available for how long jobs run on Monster, enhancements such as Bolding and posting date Auto-Refreshing and additional options such as Diversity inclusion and Career Ad Network advertising.

While Monster has BGW Default values that can be applied to a client's account, it is highly recommended you support these values in your feed. This would prevent posting failures, but would also allow clients who have purchased multiple inventory types to be able post through a single FTP feed. Without supporting these fields, clients would need to submit multiple FTP files through multiple Monster accounts in order to utilize their different inventories.

At aminimum, it would be suggested to support Job Duration, CAN andDiversity. It would also be suggested to support Bold and Auto-refresh, as well. The remaining tags would be optional but highly recommended.

Support for Job Filters

In an attempt to improve the quality of applicants in your job pool, filters allow companies to flag unqualified candidates that don't meet specific criteria in the posting. Responses from seekers who do not meet the criteria specified in the posting will be "auto-rejected" in the Monster Hiring account and will be "flagged" in the subject line of the email that is sent to the contact email included on the job.

Filters are supported on the Monster channel and a couple other channels. Unless you supply a specific channel, the channel is assumed to be the Monster channel. To enable these filters in an FTP job file, you would need to submit these values (none are required). If you supply any of the values for the 4 available filters, then the filters will be activated for that job. To disable filters, even if one of the filter values is provided, please use the JOB_DISABLE_FILTERS: field.

If filters are turned on for a job, then applicants to those jobs that don't meet the minimum filter criteria will be automatically rejected as a candidate. Job applicants that fail the filter will still be listed as applicants for your job, but they will be flagged as "Auto-Rejected". If you use the Monster Hiring site, these applicants will not be displayed in your job seeker pool. You will be able to change the "Priority" filter to view these applicants, if you wish.

Important information: These filters only apply to applications submitted direct through the Monster site. They would only be displayed and considered informational if an off-site apply method is used.

Send "Auto Reply" letter for a job

 

Through the Monster Hiring site, you can create a letter and then update your FTP job file appropriately with the ID for this letter, and job seekers will get this letter automatically when they apply to a job. This is equivalent to doing this through the Monster Hiring site when posting the job.

This is an optional field. Supplying this value, with a valid letter ID, will result in all applicants to that job getting the selected letter/e-mail at the completion of the application process.

Apply Methods

 

There are 3 separate ways to apply to a job on Monster.

Apply Online

Apply By Email (resume not saved on Monster, emailed direct to job contact)

Offsite Apply

With the Monster Apply Online, the resume is saved on Monster and a copy is emailed to job contact as set in the posting account's preferences. This is enabled/disabled with the JOB_HIDE_APPLY_ONLINE. This is the only method in which the above Filters an Auto Reply options apply.

With ApplyBy Email, it is enabled whenever any visible email address is included on the job. This can be either in the job body or in the JOB_CONTACT_EMAIL field. This can be disabled by not including anemail in the job body or by hiding the email field by either enabling JOB_HIDE_CONTACT_EMAIL or disabling JOB_SHOW_CONTACT.

For an offsite apply, the client must purchase this add on from their Monster account manager. This is either implemented on their account settings (Custom Apply – Company Level) or can be submitted through the JOB_CUSTOM_APPLY_ONLINE_URL (Custom Apply – Job Level).
Important information: Job Level custom apply requires inventory. Without the appropriate purchase and inventory, the field will be ignored and not used on the job.

1. Question: How long is my data stored in the Monster Hiring site? 
    Answer: On a quarterly basis, Monster removes job posting data and related folder(s) that have been inactive for three or more years, including:
 
1. Job postings that have not been modified (i.e., renewed, edited, copied etc.) will be removed.
2. Job postings that have not had any candidate activity (i.e., add candidate, forward candidate, add a note etc.) will be removed.  
If you have opted into OFCCP record keeping for your company, your data will not be impacted by this process and any data retention schedule you have set will be maintained.

 
2. Question: Do I need to send a file daily? How often do I need to send a file?
    Answer: File submissions should occur whenever changes are necessary. Remember to send all active jobs, not just the changes.


3. Question: Can users make manual updates by logging into their account on the website?
    Answer: No. You should submit a new file with the changes, otherwise the next time you send a file the user change will be overwritten.


4. Question: Why do I have to use Monster's categories and locations?
    Answer: You need to use Monster's assigned categories and locations to be able to search for the jobs in the Monster database. Jobs without a Monster location and category will not     be visible to the job seeker.


5. Question: How do I run a test file?
    Answer: Contact Monster Customer Service. They will provide you with a file name on the day you want to run the test file. Please note, to prevent test jobs from being visible on the     live Monster site, you will need to adjust your feed to post to the Job Board ID of 178. This is the testing/demo job search at http://jobsearch.demo.monster.com.


6. Question: Why do my jobs keep disappearing from the website?
    Answer: Either a job is missing from your FTP file or another user is accessing the account and making manual updates.


7. Question: How do job seekers apply to the jobs?
    Answer: The 3 options for applying on Monster would be Apply Online, Apply By Email and Custom Apply Link (Company or JobSpecific).
* If an email address is included in the Contact fields and not hidden, or an email is included in the job body, the Monster Apply By Email functionality is enabled. This allows the seeker who does not have a Monster account to select a document/resume and send an email to the job contact – without displaying or compromising the contact information.
* If an email address is included and Apply Online is not Disabled (JOB_HIDE_APPLY_ONLINE: 0), the standard online apply process is enabled. This requires the seeker to log into their Monster account, select the resume and submit it to the job. This is saved within the Monster Hiring job folder and sent via email as per the account's preferences.
* If no email is provided, no apply button will display unless a Custom Apply Link is configured on the account or included in the jobbody.
 


8.Question: How do I get a custom "apply on line"?
    Answer: Contact Monster Customer Service or your Account Manager.
